This policy explains what information we collect when you visit our website, message us, sign up for training or receive text messages from us, and how we use and protect it.

Information we collect

  • Parent or guardian information: name, phone number, email address and messages you send us.
  • Athlete information you provide: athlete name, age or date of birth, position, experience level, emergency contacts and medical notes needed to train safely.
  • Booking and payment information: sessions booked and package purchased. Payments are processed by our payment provider (Stripe); we do not store full card numbers.
  • Website and messaging data: basic usage data such as pages visited and messages sent through our chat, Instagram or Facebook.

How we use your information

  • To answer questions, schedule sessions and process payments.
  • To send booking confirmations, reminders, schedule updates and program information.
  • To keep athletes safe, including waivers, emergency contacts and medical notes.
  • To send occasional promotional messages about our training programs, if you have opted in.

Text messaging (SMS)

If you provide your mobile number and consent, Woodbey Training may send you text messages about scheduling, reminders, account updates and promotions. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe at any time, or HELP for help. Consent to receive texts is not a condition of purchase.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

How we share information

We do not sell your personal information. We share it only with service providers that help us run the business, such as our scheduling and customer-management platform, payment processor and messaging providers, and only as needed to provide our services, or when required by law.

Children's privacy

Our services are for athletes ages 8 to 18, but all accounts, bookings and communication go through a parent or legal guardian. We do not knowingly collect personal information directly from children under 13. Information about an athlete is provided by their parent or guardian.

Photos and video

We only publish photos or video of an athlete when their parent or guardian has given written media consent. Consent can be withdrawn at any time by contacting us.

Data security and retention

We use reasonable safeguards to protect your information. We keep records, including signed waivers, for as long as needed to provide our services and meet legal obligations.

Your choices and California rights

You can ask to see, correct or delete your personal information, or opt out of promotional messages, by contacting us. California residents may have additional rights under California law, and we will not discriminate against you for exercising them.
